Project Summary:
LMP004: LMP - IDM Integration is a sub project of the overall project LMP002 Implementation of next generation Library Services Platform and was initiated to cover project activities aligned to the integration of IDM data feed with the new Library Management system provided by 3rd party supplier Ex Libris.
The project was managed very well, with the project team collectively looking to pre-empt issues and resolve problems efficiently. The library team were like-wise very positive and detail focused, and collectively this contributed to the overall success of the project.
Objectives
- To allow the import and management of user data automatically from the University's Identity Management System (IDM) to the new Library Management Services application and the acceptance of feeds of patrons on a regular basis
Deliverables
- The delivery of period bulk feed from IDM into the Library Management system (MUST)
- MyED channel changes linking to the new Library Management system, amalgamation of 3 library channels into 2 (now Library Account / Library Resources)
Items Descoped:
- Due to time constraints and complexities around mappings Visitors were excluded from the project, this included NHS Internal Staff. It was agreed by the Project Board for business analysis to be completed separately to this project. Further meeting has been arranged with Bryan Macgregor and Barry Croucher, IS USD in early August to review.
- Also the delivery of a change based feed on demand (SHOULD) - due to time contraints this was not delivered via the project.
Benefits
The integration of IDM with the Library Management Platform Implementation project will deliver on implementation of the new system :
- Improving and streamlining business processes, staff resourcing and capacity
- Moving to a new Library Management Platform will allow all library collections to be effectively managed and discovered within a single system. This brings efficiency and workflow savings to the library by managing all resources within a single system, and making them more easily discoverable to library users.
The anticipated benefits of;
- Comprehensive integration with Identity Management System which will be measured by eliminating the need for manual work-around for patron update feeds; reducing risk of complaints as a result (e.g.. patron record expired illegitimately).
- Single sign on access to Library record, improving service for users.
Success Criteria
- Import and management of data automatically from the IDM system and manually by individual entry or bulk load
- Capable of using definable match-points for updates using User ID / EDUNIIDMSID
- Accept feeds of patron data
- Allows user to be automatically suspended, expired and removed without losing historical transaction information
- Allow patron groups and rights to be selected from the most permissive group attribute they hold (for example, in order ascending: Undergraduate Student, Postgraduate Student, and Staff).

Explanation for variance:
Original project effort estimated at 60 days however following planning activity for project briefs for EASE / IDM intergation additional days were required to cover estimated for IDM integration work and as there were days available within the EASE integration sub project a PICCL was approved to transfer days between sub - projects resulting in increase of 3 days to 63 days..
A further review of effort for LMP004 highlighted additional effort required to cover MyEd channel changes for amalgamating Library Resources and Library Search. Also additional mapping activity for Visitors included as part of BRD requirements.

- Revised Effort = 67 days
Actual effort used at project closure = 65.5 days
Project Management effort aligned to LMP004 (this is recorded under overall LMP002 project code) = 8 days
Key Learning Points:
- Cosmetic changes requested by the business partner (e.g. Library channels) should be picked up during UAT where possible. Although the changes seemed minor, outages needed to be scheduled with the MyEd service owners to apply the changes.
- A point to highlight which was helpful to this project was the fact we had completed the early IDM feed activity in the LMP001 project . This gave us a head start for this project particularly with the constraints on project timelines.
SITS upgrade completed on 20th July, impacted the Bamboo deployment changes file permissions on IDM-Library feed shell script launch_libfeed.sh. this resulted in the Library Feed not being loaded for 8 days. The LMP004 project resolved the permissions issue and updated the bamboo plan for deployment via all the environments. A request has been issues to the Information Systems team within the Library to incorporate a process in your checking procedures if they don’t receive a daily file that they raise a UNIDESK call for this to be investigated. Essentially this issue should have been picked up by the SITS upgrade team in Test unfortunately this was not correctly QAd by them and this has been noted by that project.
Outstanding issues:
- The delivery of a change based feed on demand (SHOULD) - due to time contraints this was not delivered via the project. this can be requested by the library team within Phase 2 projects during 15/16 - estimated effort 4 days. Also Library team have requested for the feed to be split into two (Student / Staff) this is being estimated at present via LMP006
- Marjory Laurenson (IS USD) Circulation (Helpdesk) advised that there may be some minor changes required to the feed but they will monitor in the interim and feedback any required changes via support or projects next financial year, if deemed necessary.
- Outstanding issues relate to Visitors information to be added to IDM feed in future and have been recorded and noted for reference in JIRA LMP002-12, LMP002-14, LMP002-27
