Status Report for period ending 31 March 2022

Report Date
March 2022

Achievements this period

  • Meeting took place with ITIL and key stakeholders to review the impact of the process changes  on support calls.  Call volumes have been low and most are resolved within 24 hours which is a marked improvement from when this problem was raised.  The next stress point is anticipated to be in August with the start of the new academic year and a final review will be scheduled for then to review how well the processes handle increased volumes.

Issues

  • A key change to Pebblepad required by MBChB is for tutors to easily be able to see any changes that have been made.  As it stands, the lack of this functionality is generating hundreds of hours of additional (unnecessary) work, going through every portfolio to see if there is a change, and then writing detailed instructions for the tutors to point them to where they need to look in PebblePad.  Pebblepad have not provided a delivery date for this development despite this being escalated to them a number of times.  Pebblepad have been advised that MBChB are actively considering reverting to paper for the next academic year due to issues with Pebble Pad / reporting / resource implications.

Next Steps

  • Response from Pebblepad regarding the delivery date for the functionality to allow tutors to easily see any changes that have been made.  Decision on project closure date depending on when / if the functionality will be delivered
  • As we still do not have a delivery date from Pebblepad for the key functionality the Project End Date will be pushed back to May 2022.  If MBChC may elect to revert to paper to track assessments then the project will be closed.
  • ITIL meeting in August to review the impact of the process changes

RAG Commentary
The project is now reporting AMBER as the issues with being able to use the solution by the Medical Teaching Office considering the gaps in reporting and notifications to staff of assessing students are now pressing.
