Overview

Background

The various sections within Information Services have different processes for requesting and allocating resources to work on projects. This has created a complicated process where different sections within the Applications Directorate have to understand and remember the different ways of working, which is especially challenging for new staff. This has driven a desire for the Applications Directorate to adopt a unified resource requesting process that enables Project Services (and any other section) to request resources in a simple way which limits confusion.

Scope

  • The scope of this project will be focused on the process dealing with requesting resources across the different sections of Applications Service 
  • The project will also create a basic FAQ system for the request resourcing process which will allow questions surrounding the new process to be answered. 

Out of scope

  • This project will only deal with the resource requesting process in the Applications Directorate and not other departments within the University
  • The FAQ system will no be a final system but rather a basic system that will be continually updated as the new process is used

Benefits

  • A new process in place to request resources which is easier to follow and universal across all departments in the Applications Directorate  
  • Reduced time spent on resourcing by project managers and resource managers 
  • Easier to request resources using the new process which is the same of all sections 
  • Improved experience for staff being allocated to projects 
  • Improved experience for all staff who need to use the resourcing process  

Success Criteria

  • This project will allow all resourcing requests to be done through one process
  • The process will be used across all of Applications Directorate for requesting resources
  • The process will be delivered by mid-August 2022
  • 80% of users will be satisfied with the new process 
  • The process will create new guidance and process maps which set out the new universal resourcing process
