The Data Vault service is a key component of the University's Research Data Service and this project will augment the service which was launched in January 2019. Data Vault provides a long-term offline storage platform to hold research data archives securely. The service offers the low-cost, efficient deposit and retrieval of legacy research data. The Data Vault enables cost-effective storage of data which is not in active use but provides retrieval on demand for compliance and other reasons. Data integrity and availability are assured, with all datasets validated on deposit and retrieval, with periodic checks on archived data. Multiple archive copies, held on in-house systems and cloud storage, ensure resilience and recovery of data.

Key benefits include -

  • compliance with research funding bodies' regulations on long-term retention of research data
  • reduction in costs for research data retention, as legacy data is deposited in low-cost, long-term archive

Early development of the service was shared by the University of Edinburgh and the University of Manchester and funded by JISC's Research Data Services. A product review in 2018 by the University's Digital Curation Centre indicated that a comparable service was not available to university researchers. JISC are also planning to roll out a version of Data Vault as a shared service to UK universities.

Key objectives of the enhancement project are to -

  • Increase maximum deposit sizes to 10TB (currently 2TB)
  • Improve release management
  • Improve processing recovery procedures
  • Implement of organisational structure and roles for data sharing
  • Improve the website user experience (UX)
  • Provide storage auditing features
  • Implement automated billing
  • Provide retention date review features
  • Migrate deposits from the interim Data Vault service
  • Provide usage reports for Schools administrators
  • Simplify retention policy updates
  • Improve encryption key management
  • Optimise deposit and retrieval processing times

Further project documentation can be found at the project Sharepoint site and work is tracked using a Jira Scrum dashboard.
