Background

 

The project is required to support the new Policy for monitoring the engagement of PGR students which comes into force from September 2014 

The policy is specifically for Tier 4 VISA students but the decision has been made that the functionality should not be limited to this set of students.

The project will provide a centralised system within EUCLID which will provide consistent information across the University and will mean that schools and colleges will not need to develop their own ad-hoc solutions.

Scope and Deliverables

The scope of the project is to deliver the following.

1)  Definition of group of engagement events against a PGR student.

2) Access for admin staff to record an event against a student including who/date/time/notes and potentially documentation.

3) Access for an academic member of staff to record and event against a student including who/date/time/notes and potentially documentation.

4) Access for admin and academic staff to see the full history of all the events recorded against a given student alongside the rest of their academic record.

5) Access for Students to see the events recorded against them from Student Self Service

6) Addition of data to Business Objects to allow exception reporting to be developed by the school and colleges.

7) Online Training for the functionality

8) Promotion of the functionality being provided so that is used consistently across the university.

Objectives

To have engagement for all PGR Tier 4 Visa students to be recorded in EUCLID.  To have consistent practices for recorded across the university. To allow exception processes to be developed to make sure the minimum level of engagement is recorded.

The main benefits of the project are as followis

  • Ability to demonstrate that the new policy has been implemented and is being monitored. This is part of a wider business project and there has been a working group set up to establish how to montoring of engagement Tier 4 PGR students this development is one of the tools to support this.

  • Effort not wasted in schools to develop their own mechanisms for recording engagement.

 

Success Criteria

Recording Mechanism is used by all schools and colleges

System is used by both admin and academic staff

Exception monitoring can be implemented and demonstated to be working.
