Impact and Dependencies

No immediate impact on existing services or projects.

Journyx licensing is subject to minimum thresholds and pricing bands: if the current platform is migrated to the Journyx hosted service, licensing costs will vary depending on the numbers of licenses each business area signs up to; unit costings have been calculated based on a minimum number of licenses (and commitment from each business area to pay for their agreed share of the licenses for a minimum of three years).

Ability to on-board new business areas may depend on having some built-in flexibility across the business areas in terms of best optimisation of the available licenses: additional licenses are available in a minimum block of 5 licenses - these can be added (and charged for) during any given year of the contract, but cannot be reduced until the next review point (review point will be ahead of the annual renewal of the contract).

The UoE on-premise platform infrastructure becomes EOL during 2020 and the expectation from discussion with the supplier is that the on-premise Journyx application is likely to be unsupported in the same time frame. If the UoE on-premise platform is not migrated to the Journyx hosted service, the current platform can continue to be used until the current term ends in April 2020, after which time the platform will be de-commissioned.

If the current platform is not migrated, key stakeholders who wish to continue to use a timesheet and / or resource tracking application are responsible for ensuring that an alternative solution has been sourced with sufficient lead time to allow export from Journyx and import into an alternative tool, if appropriate.

For the stakeholders who indicated that they no longer wish to use Journyx, it has been agreed that the decommissioning of the platform will have no operational impact on their business areas.
