No More Paper - A New Facility for Online Distance Learning Students |
A new facility to enable Online Distance Learners to upload an image for their University Card has now been launched. The new service enables Online Distance Learning Students to submit their photos for Card Services online - svaing paper and improving the student experience.

- Confirmation from Card Services that Applications views now working following "publishing" procedure from Web Integration
- Card Services completed a test in LIVE using an ODL student who is also a member of staff.
- Issue identified to show that application not working as anticipated in LIVE; as developer on Leave, resolution delayed until w/c 22/7
- Budget issues discussed with Programme manager who confirmed that, as within 10%, this did not require to be escalated

- Ongoing daily tracking with IDM to check status of accounts
- Test account issues finally resolved on Friday and passed to Tester.
- New Lesson Learned: If dummy accounts are being set up by SACs, ensure that the person set up is completed first (as stage 1); sign off by Production management that account created correctly and then update the status of the individual (e.g. making them UF or ATR, etc.); this will then process the changes correctly in Eugex, IDM and MyEd.

- MyEd refresh did not sign off on Monday 8/4 due to illness of key people; following discussion with Bill Lee, Iain Fiddes and Morna Findlay (Refresh PM), agreed that TEL005 deployment could continue
- Deployment commenced Tuesday 9/4 (pm); issues identified - problems with file transfers and file paths. Rectified on Wed 10/4; ready for MyEd deployment.
- MyEd deployment completed 11/4 and Integration testing commenced. Project sponsor updated.
- Testing completed; issues identified with set up as no persons appearing as ODL (3 persons requested as ODL).

- ODL MyEd user group issues clarified - a minor issue has been identified regarding change in course details and the fact this is not immediately reflected in MyEd; await confirmation from Card Services of the scale of this issue.

1. Stella M provided a brief overview of the new applications. There are 3 application being developed as part of this initiative:
- the card photo portlet which allows ODL students to upload a photo
- the CSU web application which allows Card Services to accept/ reject a photo
- the awaitingRecord application which allows the photo to be held in pending until the student details are available to Card Services

- New potential infrastructure issues identified (specifically on routing of Tomcat servers); investigations to refresh/ estimate size of work to complete w/c 4/3. Additional budget (0.4d) agreed with sponsor to cover investigations.
- UAT plans revised and reviewed; missed business requirement identified. Currently, the business requirements specify what should happen once an ODL student is "UF".

- Meetings with representatives from Card Services to discuss communication process; whilst a solution remains outstanding, the decision (ratified by Barry Croucher with Bryan MacGregor) is to contiue with the build; a manual mailing may be required
- Meeting held with representatives from Service Mgt regarding the changes to MyEd. They confirmed resources were available to support the plan. Risk raised that development may not meet new MyEd criteria (low risk).
