Overview
Background
The purpose of this project is to complete the outstanding tasks from DEI006, to enable ODL students to upload images for card services electronically.
The project will ensure that the application is successfully re-tested in development, that integration testing is successfully completed, that UAT is successfully concluded and that the application is deployed to live. In the live environment, USD can then decide when to introduce the functionality to the ODL students (ie make the channel visible on MyEd).
Scope, Objectives and Deliverables
The scope of this project is to complete the remaining tasks from DEI006 to:
1. Enable ODL students to upload an image on-line via MyEd
2. Enable card services to manage the images that are uploaded (ie accept/reject image) , then proceed with the normal card printing process.
Under DEI006, the project reached the stage where all key deliverables were built and peer testing had successfully concluded in the development environment. In addition appropriate Implementation documentation was complete.
The key deliverables of TEL005: ODL Image upload for card services are:
- Complete a review of the MyEd image upload and the image management application in the Development environment, including supporting documentation, to ensure readiness for Testing.
- Deploy functionality into the Test environment, and complete integration testing of the MyEd image upload and the image management application.
- Complete User Acceptance Testing.
- Complete deployment of the MyEd image upload and the image management application into Live environment.
- Complete handover of the MyEd image upload (i.e. MyEd portlet) and the image management application to Application Management.
Benefits
This project will enable the functionality for image upload and image management to be moved from the development environment, to be fully deployed for ODL students, thereby realising the benefits outlined under the original project, DEI006. The benefits for enabling ODL students to use online functionality to upload images for card services are outlined below (from original DEI006 Terms of Reference):
Tangible Benefits:
- It will save postal costs of sending the original forms.
It will save staff administration time in not printing, folding, posting forms, as well as not scanning images.
Intangible Benefits:
- It will improve the University student experience and address the ODL community who are expected to complete their studies fully online.
In future, should this functionality be extended to the wider population, this project will benefit staff, student and visitor experience.
Success Criteria
The success criteria for this project are as follows:
- ODL students are able to upload an image online via MyEd.
- Card Services have the capability to review and, if necessary, reject and re-request an ODL student image
- The project is managed to within time and budget.
