Priority and Funding
This is a plan, core funded project which has been classified as Highest Priority, see change control 1.
Planning estimate is 100 days, split as 75 days in 2020/21 and 25 days in 2021/22 - see change control 1.
The top priority is that the operations successfully facilitate the recruitment of students to meet agreed intake targets, via Clearing and technical support for Confirmation enquiries and communications. Staff and applicant experience is a priority for this project but not to the detriment of the top priority.
Impact and Dependencies
This project is dependent on the Executive/SRA for setting the programmes with places available in Clearing and the CAM prospective student web team for making the list of these programmes available to the operators and prospective students.
There is a dependency on the Euclid Student Records System being available and positioned to deal with any recruitment brought about through clearing.
The main dependencies are aligned to the telephony system, failure of this on Results Day would result in a negative impact to the University's reputation.
This project will also have a dependency on the Governments stance on social distancing at the time the call centre will be operating. The project has been planned on the current working assumptions of the restrictions that will need to be in place on Floor E in Argyle House.
We have a implement a number of contingency measures if the lines start to reach capacity, especially given both the Scottish and A-level results are on the same day this year. The specific measures will be agreed on completion of the requirements of workflows work.
If the SIMD Checker is to be used again this year there will also be a dependency on this site being available on the 10th August and for the duration of Clearing.
Lessons learned from previous projects
Project Manager has reviewed the lessons learned from USG and:
- will ensure that the data retention requirements are considered in when agreeing the workflow requirements
- has contacted Matt Beilby to advise of the Clearing dates to ensure there is no risk to key services during Clearing, eg University website
