Section One: Programme Commentary, RAG and Resources Update

 

During this month, the Securtity Incident Tracking project (EST073) has been closed.  Whilst good progress continues to be made on the Space Management project (EST063), unexpected issues have been encountered on both the Buiding Energy Monitoring System (EST066) and the Waste Mangement System project (EST071).

During July, 40 days resource was utilised which equates to a burn rate of 73%.  The overall burn rate for the year was calculated at 84%

At the end of 12/13, there will be the requirement to carry forward the foillowing projects into 13/14 EST063 - Space Management with an estimated carry over of 29 days (funded) EST066 - Buiding Energy Monitoring System with an estimated carry over of 6 days (core funded) EST071 - Waste Management System with an estimated carry over of 18 days (funded)

The project manager will discuss with the programme owner how to incorporatre the assitional unplanned carry over within the programe budget for 13/14.

Achievements in Last Period
  • Development Deployment completed on 03/07
  • Test Environment Data Refresh completed 9th July which resolved issue encountered in Lease Module
  • Test Deployment completed on 12th July
  • User Acceptance testing underway
  • Training schedule continued with Space Managers and Space Contacts workshops on 2nd July – positive feedback received on WebCentral. Further training for EBIS Support team - Admin / Configuration and Reporting Training completed
  • 2nd Communication to Space Contacts issued out on 4th July providing screenshots of the application and access to MASS environment to gain confidence in use of system and provide feedback
  • Access to TEST EASE for Space Contacts to complete UAT

Issues

  • Test deployment encountered an issue whereby deployment was only effected on one of the servers following investigation this was resolved and deployed successfully to both servers.
  • Lease Module retested to confirm correct version being displayed however issues still encountered. Following investigation it was highlighted that Lease Module had a different version held in DEV environment to that in TEST and LIVE from a previous project deployment. Now rectified and  version confirmed as expected by business users. Deployment procedures to be reviewed with Mass and Dev Technology resource.
  • Space Managers Training Session identified 2 items that would require additional development work, these were assessed by MASS with an estimate provided. This has been approved by Project Sponsor and development now completed and ready to be deployed into dev and test, this will be included as part of upgrade activity.
  • Following review of live deployment date, the Project Sponsor confirmed that the original milestone date would be impacted by financial year end activities, particularly for Lease Module resource. This includes period 13 which ends on 21 Aug. A new deployment date of 28th August was proposed, however following discussions with ITS100 Project Manager to deliver the EBIS LIVE database migration which is currently impacted by delivery timescales for automated TNS names package, an agreed date has now been approved of 4th September by Project Sponsor.
  • WIS have approved the revised timescales however due to term freeze (19th Aug - 22nd Sept) the project will have to submit a request to Special CAB for approval to deploy.

 

Next Steps

  • Deploy development scripts to Dev and TEST by 08th August
  • User Acceptance Testing completion target date 21st August
  • Preparation for live deployment on 4th Sept: service alerts, change control, implementation planning

Achievements in Last Period

  •  Due to unexpected issues, it was not possible to completed the scheduled Disaster Recovery tests 

 Issues

An unexpected issue was encountered in the days leading up the scheduled Disaster Recovery tests at the end of July.  ITI Architecture advised that here was a security issue with reinstating the system at the secondary site (AT) using the same server IP address as used at the primary site.  It is vitally important that the same IP addess is used as all the outstandings are pre-coded with that server IP address. Whilst a Disaster Recovery test had been previously undertaken, it has transpired that the DR machine used for the test had not been situated as requested at the secondary site, but at the primary site.

 A meeting has been arranged with ITI Architecture week beginning 12 August to resolve the issue and determine how ITI Architecture will take this forward

Achievements in Last Period

 During the past month;

  • A staggeered roll out plan based on the three distinct geographical areas of the campus
  • In the first week of July
    • WRS completed the re-installtion and QA of the system in the first week of July
    • WRS completed the data upload of UoE data onto Test system
  • Arrangements were completed to enable the rescheduled days training on the Test system by WRS.  Due to holidays, it was only possible for two members of the Waste Managemnt team to attend
  • User acceptance testing commenced, but was abandoned after a considerable number of issues were recorded and forwarded to WRS
  • Subsequently to the issues being raised
    • The logged issues were reviwed with WRS to ensure there were no misunderstandings regarding the reported issues
    • A copy of the UoE Test  database was provided to WRS to enable them to further review the issues locally
    • To-date, WRS have advised that all bar 3 of the reported issues have been resolved
    • The project has re-planned based on all issues being resolved by WRS by 16th August
  • The Operational Document relating to this project has been completed
  • Work is well underway towarsd completing teh Deployment Check List

  • User acceptance testing commenced, but was abandoned after a considerable number of issues were recorded in JIRA and forwarded to WRS

 

  Next Steps

  • WRS to resolve all issues by 9th August
  • WRS to complete QA on local installation of UoE system by 14th August
  • WRS to update UoE Test system and remotely complete QA of installation by 16th August
  • UoE user acceptance testing to be commence week commencing 19th August, and arrangements have been made for WRS Technical Lead to be on-site 19th / 20th August to assist with UAT
  • UoE to identify any issues regarding system generated reports or any additional reports required as part of user acceptance testing

 

As the project has been re-planned and is about to enter full user acceptance testing the project rag status has returned to Green
