Section One: Programme Commentary, RAG and Resources Update

Commentary

The STU programme is considered GREEN overall with the projects largely on track at this point in time, however there are risks from in-year compliance projects from this and other programmes that may affect the current scheduling of discretionary projects and available budget.

STU248, USG ColdFusion Upgrades: Org Hierarchy is now LIVE in addition to PADS, SCS and FOI. AMBER status reflects minor milestone changes of less than one month without impact to overall delivery milestone. The programme has requested that the project returns unused budget to the programme in March given how well the project is progressing.

STU249, LEAPS Pre-Application Enquiry Database: Project Progressing to plan

STU251, CAM - Enhancements to UG / PG Degree Finder: Project status RED due to requirement to resolve a JIRA that is also an issue in LIVE system. The project's scope will need to adjust to accommodate this issue and resolution may cause the budget to increase by approximately 10%.

This project's start date has been moved to into the next Financial Year as the days have been transferred to the SSP programme for the work that is being completed there

Dependencies

Use of these days will be dependent on the Deployment support required in the SSP In Year project to deliver the Student Disability Services Systems Replacement project which is due to start in June 2016 and continue unti 16/17.

GaSP BI/MI Enhancements

Plan

The BI MI initiative is seeking to improve the University’s approach to management information. GaSP will identify opportunities for the BI MI initiative to make small scale changes to existing reporting systems in order to demonstrate the benefit of a sound BI MI approach and to garner support for the larger initiative. This project will implement the highest priority opportunities, which are expected to be those which will give measurable benefits.

Update 05/02/16: Work is underway with GaSP to confirm the scope. An RMAS Universe is being proposed with GaSP completing a Data Dictionary as preparation for this project starting. Agreement will be sought from the RMAS service to proceed with this work following the February RMAS board meeting. If the RMAS Universe does not get undertaken then this project starting will remain dependent on GaSP determining alternative Business Requirements as noted below. This uncertainty is reflected in the AMBER status.

Update on 03/03/16: Project due to start mid-March once confirmation of resources has been obtained. The scope will be to create and RMAS BI Universe and the Business have already completed the pre-requisite work. Resourcing has been requested for this project. The planning milestone has moved from 25 March to 15 April and this is reflected in the AMBER status.

SRA - PGR Opportunity Finder

Plan

While this project was previously in the plan for 15/16, it was one of the projects impacted due to the increase in funding estimated for the Timetabling Roll Forward and the need to complete a number of ColdFusion upgrades by the end of July 2016. If the ColdFusion upgrade goes well, and the contingency is not needed, then ideally this project could be brought forward to start in May/June/July 2016. This would potentially be a good candidate for an agile project, and so it may be possible to form the team and undertake the Foundation iteration within this year, if budget allows.

Update 02-Nov-15: The other SRA project, STU249 project, LEAPS Pre-application database is likely to take less than the 100d originally estimated. The aim is now that this project would start planning in June 2016 rather than August 2016.

Update on 05-Feb-16:Work is currently being undertaken at the programme level to confirm the key scope from the Business and to investigate what may be possible to deliver with PURE.

Dependencies

Other projects within the STU programme and USG portfolio completing to budget without using contingency, in which case there may be contingency budget to start this project a little earlier than the current expected date of August 2016.

Achievements in Last Period

  • MyCareer Build and deployed to TEST
  • External Examiners: decision made to move to ColdFusion 10. Build underway.
  • Organisational Hierarchy Deployment sign off
  • New ColdFusion 10 environment set up for External Examiners

 

Issues

  • Delays encountered in build due to developers working on Timetabling issues and projects. This has now been resolved, and we have bookings and comitments to complete builds in first week of March for the remaining three applications - External Examiners, MyCareer and Bookable Rooms
  • Time is amber due to the delivery dates for the External Examiners and Bookable Rooms moving out due to developer conflict issues.

Achievements in Last Period

  • Build on Work Package One started
  • Additional developer resource assigned

 

Issues

  • Issue raised on LIVE that a development JIRA assigned to the project could fix, so this project took this on. On investigation it was found that it's more complex and requires a MySQL database migration and upgrade to solve the issue. Applications and Technology management agreed that this could go onto the enterprise MySQL server. This will now need estimated and resourced. We had an initial estimation of between 5 and 10 days, but this may increase. This is a fix that is required by the business, so the expectation is high that it will agree to the scope change and higher estimation for the project. Because of this, the Cost and Scope of the projet is now RED. Time is Amber due to the expected change.
  • Start of development delayed due to conflicts with the timetabling project. Risk has been raised that work package one delivery milestone might not be met, however with two developmers now assigned, this will be monitored during March.

 

Next Steps

  • Continue with work package one development.
  • Estimation for database migration, and resource assignment.
  • Agree scope change and estimation for change with business.
