USG021 Results Days and Clearing Helpline 2023

Achievements

• The call centre was successfully set up, configured and tested in advance of the SQA Results Day (08/08/23) 

• The Results Helpline and Clearing call centres ran well on SQA Results Day with 453 calls answered across the day 

• The call centre was successfully set up, configured and tested in advance of the A Levels Results Day (17/08/23) 

• The Results Helpline ran well on A Results Day with 948 calls answered across the day 

• All delivery milestones have been successfully delivered and noted at Apps Review 

• Positive feedback has been received from stakeholders about the new location as well as how smoothly the call centres operated. Surveys have been produced to gather this feedback for incorporation into the Closure Report 

• The Closure Report has been drafted and issued to the project team for review 

Issues

• A few minor technical issues were encountered on Results Day but did not impact the ability to answer calls. These issues have been logged in the Lessons Learned Log and will be picked up with the supplier for resolution in advance of next year’s call centres

• Process and form design has been more complex and taken longer than expected due to MVP approach 
• Reduced capacity within Service Management due to competing priorities
• Difficult to prepare thoroughly for UAT given capacity issues
• High burn-rate through budget

USG024 Student Recruitment and Admission CRM Integration

• Service request submitted with CRM supplier to set up Test environment.
• New PM assigned.

Issues

• Low activity over August due to staff leave and the need to replace the Project Manager following their departure from UoE
• Delay in planning

Next Steps

• Reboot of the project in September with the new PM and the CRM service manager who will be back from parental leave.
• Produce planning documents.
• Continue with technical configuration.
