USG023 University Policy Repository - SharePoint

Achievements

• Change of project manager - Sue Woodger took over from Catherine Hetherington wef 14/11/23
• Policy Repository launched on 13 Nov 23
• Quality Assurance was completed
• TAD completed and successfully reviewed by AppsMan and TechMan
• Communications plan for delivery kicked off
• Lewis Allan and Kate Robertson from GaSP now on board as part of the project team
• API and front end development is completed in Dev

Issues

• End-to-end UAT design to be completed by PM. This is difficult as the current PM did not write the requirements but Claire Bradford has given some help
• There has been some confusion around what comms need to go out around delivery of the system and they appear to be complicated so PM has kicked off a communications plan
• The quality assurance was patchy. Linda Criggie has checked for missing mandatory fields and listed for GaSP to follow up. Also Finance have still to confirm creation of the pdf’s
• PM has reviewed the budget and expenditure for the project on taking over and it is sitting as overspent  - an issue will be raised for approval from programme manager and programme owner

Next Steps

• SDD for repository to be started
• Accessibility statement to be written
• Views to be completed - have been started
• Review the RACI that had been previously parked
• API and front end development to be moved into Test wb 5 Dec 23
• Walkthrough of system to take place 7 Dec 23 with all parties
• End-to-end UAT design to start
• Supporting Guidance (to Policy ‘for policies’) awaiting sign off within GaSP – then needs to go on Repository Training/Support page

Issues

• Delay in planning completion
• Delay in providing Dynamics test environment from supplier as they work on an image for use by the wider University. Due to completed w/b 30th Nov
