Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme for August 2023  is GREEN with two projects closing and three largely on track to deliver to plan.

There are five open programme risks in August:

Project highlights

  • MVM148: CLOSED - Project delivered and closed
  • MVM153: CLOSED - Project delivered and closed
  • MVM154: AMBER - Most of the work has now either completed or been rescheduled for completion. There are still outstanding supply only items that we are waiting for and these will need to be funded out of the 23/24 upgrade project budget.
  • MVM155: GREEN - Phases 3 and 3 completed development, UAT and deployed
  • MVM157: GREEN - Simulation electronic patient information system has been used three times; phase 2 planning to proceed

MVM148 Upgrading of teaching spaces 2021/22 RAG Status: CLOSED

Achievements this period

  • EDSCCU rooms at Easter Bush have been completed and clinical staff have been asked to test the system and provide feedback.  Any adjustments to the configuration will be picked up either as business as usual or through the 23/24 teaching spaces upgrade project.
  • Request for updates on the remaining estates work for Vet School rooms has been sent.  Given the staff changeover and lack of information held on the estates side, work requests may need to be sent in again.  This will be dealt with as business as usual moving forwards, since the rooms are at least currently usable.

MVM153 Upgrading of student computer labs, teaching and meeting room PCs 2022/23 RAG Status: CLOSED

MVM154 Upgrading of teaching spaces 2022/23 RAG Status: AMBER

Achievements this period

  • AV contractor has replaced the temporary equipment they installed in the MSc area of the Anatomy lab.
  • AV contractor has been booked in to carry out the initial work in Dermatology clinic on 14th September.
  • Replacement desk monitors have been installed in the Anatomy lab to work with the surgical camera that was installed in July.  Old monitors couldn't support the low vertical refresh rate of the camera.
  • More of the supply only equipment has been delivered, however there are still outstanding items.
  • Two of the three Mackenzie Medical Practice rooms have been fully updated.  The third room has had all of the equipment updated, but there were issues getting the new AV desk into the room, so the AV contractor will return to complete this in September.  

Issues

  • NHS funding for Lauriston learning hub is apparently still available, following all of the delays with the building warrant being approved, however it is extremely unlikely that the necessary fabric and infrastructure work (organised by the NHS) will be completed before students return and no AV contractor has yet been appointed to the project.

Next Steps

  • Request network cable/ports for Dermatology clinic direct from data contractor and then update the associated netjob.
  • Receive remaining supply only AV equipment

MVM157 Medical Simulation - Electronic Systems RAG Status: GREEN

Achievements this period

  • Simulation electronic patient information system has so far been used on three occasions, twice for year 6 simulation and once for year 5 simulation.
  • Feedback survey for the year 5 simulation teaching has had it's first responses provided.

Issues

  • None

Next Steps

  • Nursing studies staff to generate more 'patients' for the system, so that they can be entered into the system.
  • Evaluate usage after the first 3 weeks of use to see if any adjustments need to be made to the system.
  • Start to plan the phase 2 objectives.

Projects outwith the MVM Portfolio Update

OCP004 CPD Platform - Requirements, Market Analysis and Business Case - RAG Status: CLOSED

  • The  "Short Courses Platform - Requirements, Market Analysis and Business Case" project is now closed and has been superceeded by "SCP001 – Short Course platform procurement". A post project review will be completed

Please note that SCP001 is a secure project and will only be visible to those working on it.

VLE002 Learn Ultra: Technical - RAG Status: GREEN

Last month

  • VLE002:  Work on our list of Phase 2 developments for the 23/24 academic year is compete as per the plan.  
  • VLE002:  All integration work is complete to the extent the team can.  QMP is awaiting the migration of QMP project to finish and Linkedin Learning is compete and awaiting the service team for that product to publish the guidance.

  • VLE002:  Close the year 2 Technical workstream.
  • VEE002:  Highlight any scope required to be planned into year 3.  

VLE003 Learn Ultra: Learn Foundations - RAG Status: GREEN

Achievements

  • Continued migration of complex courses.
  • Continuation of the implementation work for the move to Learn Ultra (Focus on accessibility);
  • Completion of the new work package for out of scope uses of Learn - change to the project scope to include this piece of work;
  • Completion of both the Technical Implementation Group and Project Board (both scheduled for August 2023);
  • Continued planning to begin for the Evaluation phase of the Learn Ultra project.

Issues

  • Industrial action is currently underway and may have an impact upon aspects of the project - This is a risk that is actively being mitigated against as the UCU have just announced that their mandate has been renewed which confirms further potential strike action across the next academic year.

Next Steps

  • Finish the migration of complex courses by the end of September.
  • Finish the implementation work for the move to Learn Ultra (Focus on accessibility);
  • Begin the analysis of the Learn Foundations internship data obtained from June to September in preparation for School reports to be produced;
  • Initiation of the Evaluation phase of the programme;
  • Complete recruitment for an evaluation officer.

VLE004 Learn Ultra: Training and Support - RAG Status: GREEN

Achievements

  • We delivered 32 ’10 Things to get started in Learn Ultra’ training sessions in August to support colleagues in the move to Learn Ultra, meaning 186 sessions in total have been delivered so far, reaching 1131 colleagues. An additional 74 task-focussed training sessions have been delivered so far to 411 colleagues, thereby providing enhanced support for course build in preparation for the start of term.  
  • Launched a self-led online training resource called ‘Getting Started with Learn Ultra' that covers all the content taught in the live ‘10 Things to get Started in Learn Ultra’ sessions.
  • Provided Schools SMT with weekly training data for an overview of engagement with training from within the Schools.
  • Scheduled new ’10 Things’ training sessions ahead of semester 2.

Issues

Next Steps

  • Finalise the schedule ahead of semester 2 by adding the drop-in sessions until the end of January.
  • Further schedule task-focussed sessions ahead of and after semester 2 as part of the regular Learn training programme.
  • Deliver 50 Ultra training and drop-in sessions across campuses in September.
  • Continue School SMT training data reporting.

SAC095 Student Support Enhancements - RAG Status: AMBER

Achievements in Last Period

  • Cohort Lead student allocation - search and display results screens LIVE (R1.0 and R1.0.6)
  • Cohort Lead student allocation - allocate students (and bulk allocate) LIVE (R1.0 and R1.0.6) 
  • Cohort Lead student allocation - display of allocation ("My Students" and MyEd view) in Test
  • Majority of PT reference changes deployed to Live (PATH - Live; ESC  - LIVE; SITS/EUCLID - Some Live; Student Hub - In test; Self-service - In test) 
  • MScR analysis completed; Technical input still required to allow user story documentation and develop
  • R1.1 scheduled for 11/9/23

Issues 

  • Model leadership elements of overall student support model still in development, so analysis work pushed back. Allows focus on Cohort Leadership roles in meantime

Risks:

  • Risk remains that effort required may be underestimated as significant areas need specified (especially model leadership roles)
  • Resource risk still live with conflicting demands on developer/BA time for Marking and Assessment Boycott and ESC
