Senior Supplier / Project Manager Meeting 29th April 2013
1. Stakeholder Management
Director of Apps very posiive on current direction for project but felt it important that various BI/MI related initiatives are joined up so that everyone understands what's going on and works together to maximise benefit. Current projects/initiatives include:
- BOXI Upgrade (ITS092) i.e. this project
- CSE Reporting and Business Intelligence Optimisation (COM006)
- University Wide BI/MI Improvement Initiative following up Deloitte report and to start August 2013 if funding approved
Director advised that stakeholder grop should include representatives from these other projects e.g. Anne Payne, Susan McKeown (COM006) and Fraser Muir, Jo Craiglee (UoE BI/MI)
2. Universe Documentation for BOXI Users
Senior Supplier welcomed plan to improve documentation of Universes as part of migration to new platform - in fact a pre-requisite. Project Manager and Service Owner developing templates for this. There may be examples ofBOXI Universe end user documentaion available via Google search.
3. Universe Migration Plan
Agreed that sign off of the migration plan should be added as a milestone for delivery in May 2013. Plan should be at the Universe level, rather than just business area, and must specify all Universes to be migrated and when. Senior Supplier to be included in sign off.
4. TAD/SDS Sign Off
Project Manager to produce a narative to accompany TAD and SDS clarifying linkage between these technical documents and the key project deliverables. This is to be ready ahead of Migration Plan sign off.
5. Governance
Three governance groups identified:
- Core Team (in Sponsor and Senior Supplier) - meets monthly for duration of project
- Business Stakeholder Group (Universe Owners) - meets bi-monthly for duration of project
- BOXI User Group - to be established (Fraser Muir asked to lead) - meets bi monthly but Convenor to join Core Team
6. Senior Supplier Review
Senior Supplier to schedule for mid May.
