Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme for September 2023 is AMBER . The open projects are all progressing satisfactorily but there is a new risk that the programme will be unable to complete all the work being requested in 23/24 to preferred timescales.

There are six open programme risks in September:

Project highlights

  • MVM154: GREEN - The majority of the supply only AV equipment has now been received.  There are a small number of items that should be delivered in October.
  • MVM155: GREEN - Phase 4 developments completed and project on track for closure.
  • MVM157: GREEN - Simulation electronic patient information system has been successfully used many times now with positive feedback from users.

MVM Learning and Teaching Projects Update

MVM154 Upgrading of teaching spaces 2022/23 RAG Status: GREEN

Achievements this period

  • AV contractor has completed part of the installation for the Dermatology Clinic.  The job couldn't be completed due to the availability of the room, so a return visit is required.
  • Purchase order has been raised to the AV contractor to return and swap out the AV equipment and desk in one of the Mackenzie Medical Practice rooms.  This work still needs to be scheduled, but will need to work around existing teaching bookings, so may not be possible until December.
  • The majority of the supply only AV equipment has now been received.  There are a small number of items that should be delivered in October.

Issues

  • Lauriston Building has been identified as a possible high risk for RAAC, therefore the network installation will wait until after the inspection has been carried out.
  • NHS funding for Lauriston learning hub is apparently still available, following all of the delays with the building warrant being approved, however it is extremely unlikely that the necessary fabric and infrastructure work (organised by the NHS) will be completed before students return and no AV contractor has yet been appointed to the project.

Next Steps

  • Request network cable/ports for Dermatology clinic direct from data contractor and then update the associated netjob.
  • Receive remaining supply only AV equipment

MVM155 BMS Honours Portal RAG Status: GREEN

MVM157 Medical Simulation - Electronic Systems RAG Status: GREEN

Achievements this period

  • Simulation electronic patient information system has now been used during 13 teaching sessions and no issues have been raised so far.
  • Feedback survey for the year 5 simulation teaching has had 24 responses so far, with the vast majority being very positive.

Issues

  • None

Next Steps

  • Nursing studies staff to generate more 'patients' for the system, so that they can be entered into the system.
  • Start to plan the phase 2 objectives.

 

Projects outwith the MVM Portfolio Update

VLE002 Learn Ultra: Technical - RAG Status: GREEN

Last month

  • VLE002:  Work on our list of Phase 2 developments for the 23/24 academic year is compete as per the plan.  
  • VLE002:  All integration work is complete to the extent the team can.  QMP is awaiting the migration of QMP project to finish and Linkedin Learning is compete and awaiting the service team for that product to publish the guidance.  

Issues.

  • No new issues.

Next steps.

  • VLE002:  Close the year 2 Technical workstream.
  • VEE002:  Highlight any scope required to be planned into year 3.  

VLE003 Learn Ultra: Learn Foundations - RAG Status: GREEN

Achievements

  • Finished the migration of complex courses by the end of September.
  • Finished the implementation work for the move to Learn Ultra (Focus on accessibility);
  • Initiation of the Evaluation phase of the programme.

Issues

  • Industrial action is currently underway and may have an impact upon aspects of the project - This is a risk that is actively being mitigated against incase of further potential strike action across the current academic year.

Next Steps

  • Begin the analysis of the Learn Foundations internship data obtained from June to September in preparation for School reports to be produced;
  • Progress with the Evaluation phase of the programme;
  • Complete recruitment for an evaluation officer;
  • Host the next Learning and Teaching Implementation Group (LTIG);
  • Close project.

VLE004 Learn Ultra: Training and Support - RAG Status: GREEN

Achievements

  • We delivered 34 ’10 Things to get started in Learn Ultra’ training sessions in September to support colleagues in the move to Learn Ultra, meaning 239 sessions in total have been delivered so far, reaching 1176 colleagues. An additional 97 task-focussed training sessions have been delivered so far to 498 colleagues, thereby providing enhanced support for course build in preparation for the start of term.  
  • Finalised schedule of ’10 Things’ training until the end of January (the end of the project).

Next Steps

  • Continue with the delivery of the planned training across October for 10 Things and tasks focused training courses and drop-in sessions.

SAC095 Student Support Enhancements - RAG Status: AMBER

Achievements in Last Period

  • Cohort Lead student list view and email functionality - R1.1 in LIVE
  • Student Hub - Display of CL details - R1.1.1 - in LIVE
  • Student self-service - PT Reference and CL display - R1.1.2 - In LIVE
  • Reporting DB updates for BI - R1.1.3 - In LIVE
  • Development of ColdFusion changes for proxy channel - in TEST
  • 1st batch of SITS UX enhancements - In TEST
  • Further BI reporting updates - in TEST

Issues 

  • Model leadership elements of overall student support model still in development, so analysis work pushed back

Risks:

  • Resource risk still live as conflicting workload in SSP

SCP004 Short Course Platform: Operational and Management Reporting - RAG Status: AMBER

Achievements this period:

  • Meeting held with ISG-Apps Enterprise Data Services Service Manager to discuss their input to the analysis and design of the platform’s overall reporting architecture

  • Meeting held with ISG-Apps Software Dev Payments lead and Finance Operations (Accounts Receivable) Manager to discuss next steps for payments integration and financial reporting
  • Meeting held with CAHSS BI Manager to discuss Short Course reporting/as-is processes/MI requirements at College-level

Next steps:

  • Forecasting that initial contact with preferred bidder will take place early- to mid-October resulting in further project progression and firming up of overall reporting architecture analysis and design
  • Work continues with BA and project team to define the University's enterprise and data architecture for operational and financial reporting, including processes for data extraction and reporting, and preferred data visualisation tools

Risks/Issues:

  • Delays in contract signing (SCP001) mean that we can't engage with supplier to get their detailed input on operational reporting from the Catalogue and VLE at this moment in time

SCP007 Short Course Platform: Payment Integration and PCI-DSS Compliance - RAG Status: GREEN

Achievements this period:

  • Work continues to complete documentation of card payment transaction flows through WPM-Education to P&M

  • Meeting with ISG-Apps Software Dev Payments lead and Finance Operations (Accounts Receivable) Manager to discuss next steps for payments integration and financial reporting
  • Initial call held with SCP catalogue vendor regarding their WPM payments integration. This will inform the prioritisation of vendor roadmap items within the contract

Next steps:

  • Follow on meetings being scheduled with Flywire (WPM-Education owner) to determine WPM-Education payment pathway configuration options
  • Additionally, a workshop is being scheduled with Finance Cash Management team to understand more detail around the transaction flow from WPM-Education into P&M so that the project can document any configuration work required
  • This will lead to a combined workshop with Finance, SCP platform provider, and IS-Apps to confirm high level design, activities and estimation of work required later in the project

Risks/Issues:

  • Delays in contract signing (SCP001) may impact further work to be completed with preferred bidder on project progression and firming up of overall payments architecture analysis and design

SCP008 Short Course Platform: Configuration of Email, SSO and IDM - RAG Status: RED

Achievements this period:

  • Meeting held with Service Management Section Head to discuss pre-planning of project, preferred contacts, resourcing etc.
  • Engagement with ITI Enterprise team manager on pre-planning of project, preferred contacts, resourcing etc.

Next steps:

  • Make initial contact with preferred bidder early- to mid-October to further project progression and firm up overall Email, SSO and IDM architecture analysis and design

Risks/Issues:

  • Delays in contract signing (SCP001) have impacted further work to be completed with preferred bidder on project progression and firming up of overall Email, SSO and IDM architecture analysis and design
