Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme for October 2023 is AMBER. Although all open projects are GREEN and progressing well, the uncertainty of resourcing capacity for the remainder of the year means the programme is AMBER.

There are six open programme risks in October:

Project highlights

  • MVM154: GREEN - Some of the outstanding AV equipment has now been delivered.
  • MVM155: GREEN - Phase 4 developments, fixes, testing and deployment have been completed
  • MVM157: GREEN - Simulation electronic patient information system continues to be used in all simulation teaching sessions and no issues have been raised so far.
  • MVM159: GREEN - Project initiated and brief written
  • MVM160: GREEN - Project initiated and brief started

MVM Learning and Teaching Projects Update

MVM154 Upgrading of teaching spaces 2022/23 RAG Status: GREEN

Achievements this period

  • Return visit to the Mackenzie Medical Practice to swap out the desk has been scheduled for early January.
  • Received some more of the remaining supply only AV equipment.

Issues

  • Lauriston Building has been identified as a possible high risk for RAAC, therefore the network installation will wait until after the inspection has been carried out.
  • NHS funding for Lauriston learning hub is apparently still available, following all of the delays with the building warrant being approved, however it is extremely unlikely that the necessary fabric and infrastructure work (organised by the NHS) will be completed before students return and no AV contractor has yet been appointed to the project.

Next Steps

  • Request network cable/ports for Dermatology clinic direct from data contractor and then update the associated netjob.
  • Receive remaining supply only AV equipment.
  • Sign off desk swap for Mackenzie Medical Practice.

MVM155 BMS Honours Portal RAG Status: GREEN

  • Post-closure support and nice-to-have developments have been verbally agreed

MVM157 Medical Simulation - Electronic Systems RAG Status: GREEN

Achievements this period

  • Simulation electronic patient information system continues to be used in all simulation teaching sessions and no issues have been raised so far.
  • Feedback survey for the year 5 simulation teaching now has 31 responses, still with the vast majority being very positive.
  • Meeting to discuss the start of developing the electronic prescription system has been set for 7th November.

Issues

  • None

Next Steps

  • Nursing studies staff to generate more 'patients' for the system, so that they can be entered into the system.
  • Start to plan the phase 2 objectives.

MVM159 Upgrading of teaching spaces 23/24 RAG Status: GREEN

  • Project initiated on website and project brief written.
  • Some rooms in Easter Bush and the central area have already been identified as priorities.

Issues

  • None

Next Steps

  • Complete list of rooms requiring upgrades for the different campus locations need to be identified and added to the project brief.
  • Prioritise list of rooms to upgrade this year based on available funding.
  • Create AV designs and then tender documents for each of the new room upgrades.

MVM160 Upgrading of student computer labs, teaching and meeting room PCs 23/24 RAG Status: GREEN

  • Project initiated on the website and project brief started.  Full list of PCs to replace will be added.

Issues

  • None

Next Steps

  • Create full list of PCs for replacement.
  • Discuss replacements with local IT teams to ensure they are aware of the locations receiving upgrades.
  • Purchase the replacement computers.

 

 

Projects outwith the MVM Portfolio Update

VLE002 Learn Ultra: Technical - RAG Status: GREEN

Last month

  • VLE002:  Work on our list of Phase 2 developments for the 23/24 academic year is compete as per the plan.  
  • VLE002:  All integration work is complete to the extent the team can.  QMP is awaiting the migration of QMP project to finish. 

Issues.

  • No new issues.

Next steps.

  • VLE002:  Close the year 2 Technical workstream.
  • VEE002:  Highlight any scope required to be planned into year 3.  

VLE003 Learn Ultra: Learn Foundations - RAG Status: GREEN

Achievements

  • VLE003: Begun the analysis of the Learn Foundations internship data obtained from June to September in preparation for School reports to be produced;
  • VLE003: Progress with the Evaluation phase of the programme;
  • VLE003: Recruitment of an Impact and Evaluation Officer completed.  Due to start early December;
  • VLE003: Hosted the next Learning and Teaching Implementation Group (LTIG);
  • VLE003: Closure activities for the Learn Foundations workstream - Lessons Learned;

  • No issues currently identified

Next Steps

SAC095 Student Support Enhancements - RAG Status: AMBER

Achievements in Last Period

  • Releases for R2.1 (Reporting), R2.2 (ColdFusion), R2.3 (SITS Enhancements) all in Live
  • Model leadership requirements approved; Stories in estimation
  • Final round of SITS enhancements/role functionality changes being drafted

Issues 

  • Model leadership elements of overall student support model still in development, so analysis work pushed back

Risks:

  • Resource risk still live as conflicting workload in SSP

Next Steps​

  • Model Leadership (and Senior Tutor functionality) development - TBC if one release or two
  • Other remaining development (Academic flag; SSO Roles, Usability enhancements)

SCP004 Short Course Platform: Operational and Management Reporting - RAG Status: AMBER

Achievements this period:

  • Work continues with BA and project team to define the University's enterprise and data architecture for operational and financial reporting, including processes for data extraction and reporting, and preferred data visualisation tools

Next steps:

  • Forecasting that initial contact with preferred bidder will take place mid- to late- November, resulting in further project progression and firming up of overall reporting architecture analysis and design

Risks/Issues:

  • Delays in contract signing (SCP001) mean that we can't engage with supplier to get their detailed input on operational reporting from the Catalogue and VLE at this moment in time

SCP007 Short Course Platform: Payment Integration and PCI-DSS Compliance - RAG Status: GREEN

Achievements this period:

  • Meeting held with Cash Management office/Finance Operations team to understand how the cash management process works today and to determine the impact of setting up a new WPM-Education payment pathway for the SCP
  • Meeting held with Flywire (WPM-Education owner) to determine WPM-Education payment pathway configuration options. Flywire have confirmed that a new payment pathway can be set up in approx. five days and will not incur any additional cost
  • Meeting held with Inohub to establish what config. changes are required to enable the new end to end payments journey from the SCP through WPM-Education to Inohub and on into P&M
    • GL code can be modified so that income can go to one/specific cost centre
    • Might be some exceptions but the goal is that all reporting and income analysis can happen in P&M
  • Meeting held with University VAT/Sales Tax Manager to understand the VAT/Sales Tax rules we need to consider for the design of the SCP and any downstream processing

Next steps:

  • Determine who will be setting up payments test environments internally and supporting end-to-end payments testing
  • Combined workshop with Finance, SCP platform provider, and IS-Apps to confirm high level design, activities and estimation of work required later in the project

Risks/Issues:

  • Delays in contract signing (SCP001) may impact further work to be completed with preferred bidder on project progression and firming up of overall payments architecture analysis and design

SCP008 Short Course Platform: Configuration of Email, SSO and IDM - RAG Status: RED

Achievements this period:

  • Meeting held with Learn Ultra service manager to understand current staff feed file process and any potential takeaways to be applied to the SCP
  • Openly available vendor documentation on SSO/IDM etc. reviewed

Next steps:

  • Meet with Apps Dev Tech team to firm up estimated project plan; check-in regarding resource availability; and update on any relevant information gathered from openly available vendor documentation etc.
  • Make initial contact with vendors mid- to late-November to further project progression and confirm overall Email, SSO and IDM architecture analysis and design

Risks/Issues:

  • Delays in contract signing (SCP001) have impacted further work to be completed with preferred bidder on project progression and firming up of overall Email, SSO and IDM architecture analysis and design
