Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme for November 2023 is AMBER. Although all open projects are GREEN and progressing satisfactorily, and MVM155 has been delivered and closed, the uncertainty of resourcing capacity for the remainder of the year means the programme is AMBER.

There are six open programme risks in November:

Project highlights

  • MVM154: GREEN - Lauriston Building has been cleared of any RAAC concerns, so we're now able to contact our data contractor to have the necessary network ports installed
  • MVM155: CLOSED - this project delivered and closed
  • MVM157: GREEN - The patient information system was demonstrated at the annual Clinical Educator Programme symposium and has led to several requests to use it in other teaching sessions.
  • MVM159: GREEN - No progress due to other priorities and annual leave
  • MVM160: GREEN - No progress due to other priorities and annual leave

MVM Learning and Teaching Projects Update

MVM154 Upgrading of teaching spaces 2022/23 RAG Status: GREEN

Achievements this period

  • Lauriston Building has been cleared of any RAAC concerns, so we're now able to contact our data contractor to have the necessary network ports installed.
  • CAT6A cabling has been terminated in the Dermatology clinic room.

Issues

  • NHS funding for Lauriston learning hub is apparently still available, following all of the delays with the building warrant being approved and the previous concerns over RAAC.  We don't yet have a new timeframe from the NHS, so it is likely that this will be transferred into the 2023-24 upgrade project.

Next Steps

  • Request network cable/ports for Dermatology clinic direct from data contractor and then update the associated netjob.
  • Receive remaining supply only AV equipment.
  • Sign off desk swap for Mackenzie Medical Practice - January 2024.

MVM157 Medical Simulation - Electronic Systems RAG Status: GREEN

Achievements this period

  • Meeting with one of the academic leads for prescribing took place on 7th November and provided insight into the limited parts of the NHS prescribing system that we should look to build for the simulation system.
  • The patient information system was demonstrated at the annual Clinical Educator Programme symposium and has led to several requests to use it in other teaching sessions.

Issues

  • None

Next Steps

  • Set up meeting with developers to start building the prescribing parts of the simulation system.
  • Nursing studies staff to generate more 'patients' for the system, so that they can be entered into the system.

MVM159 Upgrading of teaching spaces 23/24 RAG Status: GREEN

  • None

Next Steps

  • Complete list of rooms requiring upgrades for the different campus locations need to be identified and added to the project brief.
  • Prioritise list of rooms to upgrade this year based on available funding.
  • Create AV designs and then tender documents for each of the new room upgrades.

MVM160 Upgrading of student computer labs, teaching and meeting room PCs 23/24 RAG Status: GREEN

Next Steps

  • Create full list of PCs for replacement.
  • Discuss replacements with local IT teams to ensure they are aware of the locations receiving upgrades.
  • Purchase the replacement computers.

 

 

Projects outwith the MVM Portfolio Update

VLE002 Learn Ultra: Technical - RAG Status: GREEN

Last month

  • VLE002:  Work on our list of Phase 2 developments for the 23/24 academic year is compete as per the plan.  
  • VLE002:  All integration work is complete to the extent the team can.  QMP is awaiting the migration of QMP project to finish. 

Issues.

  • No new issues.

Next steps.

  • VLE002:  Close the year 2 Technical workstream.
  • VEE002:  Highlight any scope required to be planned into year 3.  

VLE003 Learn Ultra: Learn Foundations - RAG Status: GREEN

Achievements

  • VLE003: Continued with the analysis of the Learn Foundations internship data obtained from June to September in preparation for School reports to be produced;
  • VLE003: Progressed with the Evaluation phase of the programme;
  • VLE003: Hosted the November project board;
  • VLE003: Continued with closure activities of the Learn Foundations project.

Next Steps

  • VLE003: Learn Foundations internship reports to be shared wtih Schools by the end of the year;
  • VLE003: Contunue with the Evaluation phase of the programme - Impact and Evaluation Officer due to start on Monday 4th December;
  • VLE003: Continue with closure activities of the Learn Foundations project - Final lessons learned due by the festive break.

VLE004 Learn Ultra: Training and Support - RAG Status: GREEN

Achievements

  • VLE004: Continue with the delivery of the planned training across October for 10 Things and tasks focused training courses and drop-in sessions.
  • VLE004: Lessons Learned 1st draft shared for review.
  • VLE004: Analysis of training data commenced.

Next Steps

  • VLE004: Continue with the delivery of the planned training across December for 10 Things and tasks focused training courses and drop-in sessions;

SAC095 Student Support Enhancements - RAG Status: AMBER

  • Resource risk still live as conflicting workload in SSP (CSI, CTP and SRE)

SCP004 Short Course Platform: Operational and Management Reporting - RAG Status: AMBER

Achievements this period:

  • Work continues with BA and project team to define the University's enterprise and data architecture for operational and financial reporting, including processes for data extraction and reporting, and preferred data visualisation tools

Next steps:

  • Forecasting that initial contact with preferred bidder will take place January 2024, resulting in further project progression and firming up of overall reporting architecture analysis and design
  • Meeting scheduled with BA and Programme Manager to discuss the reporting workstream and how we approach the gap analysis with the vendor(s) to confirm what reports are supported by the platform(s) and where we may require new reports/amendment to current University reporting

Risks/Issues:

  • Delays in contract signing (SCP001) mean that we can't engage with supplier to get their detailed input on operational reporting from the Catalogue and VLE at this moment in time

SCP007 Short Course Platform: Payment Integration and PCI-DSS Compliance - RAG Status: GREEN

Achievements this period:

  • Meeting held with Finance Senior Project/Programme Manager to discuss status of University PCI-DSS project, as well as possible consultation with PCI-DSS consultant for this project

  • Project BA has documented changes required across the payments processes based on various sessions held with the Finance stakeholders, and produced a Payment Integration Impact Assessment document which has been reviewed by the Programme Manager

Next steps:

  • Determine who will be setting up payments test environments internally and supporting end-to-end payments testing
  • Combined workshop with Finance, SCP platform provider, and IS-Apps to confirm high level design, activities and estimation of work required later in the project

Risks/Issues:

  • Delays in contract signing (SCP001) may impact further work to be completed with preferred bidder on project progression and firming up of overall payments architecture analysis and design

SCP008 Short Course Platform: Configuration of Email, SSO and IDM - RAG Status: RED

Achievements this period:

  • Meetings held with Apps Software Dev and Dev Tech team managers (as well as Head of Apps Service Management) to discuss  current project status and check-in regarding resource availability over the holidays and into the new year
  • Any relevant information (regarding Email;SSO; IDM set-up) gathered from openly available vendor documentation online and shared with Apps project teams for discussion
  • Solution recommendations for IDM staff feed/APIs drafted by Apps Software Dev, as well as draft 3-point estimation for work involved from both Software Dev and Dev Tech teams

Next steps:

  • Forecasting that initial contact with preferred bidder will take place January 2024, resulting in further project progression and firming up of overall Email, SSO and IDM configuration/design
  • Draft 3-point estimations for work involved from Software Dev and Dev Tech teams to be reviewed, approved, and set-up in ASTA PowerProject

Risks/Issues:

  • Delays in contract signing (SCP001) mean that we can't engage with supplier to get their detailed input on overall Email, SSO and IDM configuration/design at this moment in time
