Section One: Programme Commentary, RAG and Resources Update

Commentary

Programme status: The overall status of the MVMLAT programme for March 2024 is AMBER with continued lack of development resourcing capacity for the remainder of the programme year impacting the Student Placements project (MVM158) and into 24/25.

There are six open programme risks in March:

  • MVM157: GREEN - Good student feedback and planning underway for next phase
  • MVM158: RED - Resource issue continues to impact this month with no confirmation of when developer resource will be available
  • MVM159: GREEN - Drawings have been created for the Anatomy rooms with tender documents drafted
  • MVM160: GREEN - Requisitions have started to be raised for the replacement PCs.  The remainder will be raised during early April.

MVM157 Medical Simulation - Electronic Systems RAG Status: GREEN

Achievements this period

  • Assistantship sessions ran with the use of the system.  Feedback was very good, with students stating that it felt realistic to be using an electronic system.
  • Meeting with the Clinical Skills team took place regarding the next phase of work, which involves some developments of the existing system and the start of an electronic prescribing element.

  • Continue developing the next phase of the system, based on the meeting from this month.
  • See how the next assistantship sessions go at the start of April.

MVM158 Student Placements RAG Status: RED

Issues

  • Moved analysis deadline out - see change control 2
  • Resourcing re Phase 2 

    • There is an issue with DLAM resourcing for the design and build work which is causing the RED status:

      • There is no clarity in the near future as to when the build work can take place and this has been escalated
      • Discussions were held with Programme and MVM IT where it was agreed that the project continues in full. Having requirements will enable a better estimate of the work to be completed which will be helpful for resourcing
      • There is a programme risk relating to this project risk: https://secure.projects.ed.ac.uk/unpublished/programme/mvmlat/risks/16 
    • There is a risk around resourcing for the feed from/to SSP work
      • At this point it is unsure if a feed will be required from SSP and if it is what type of feed will be required. This will be determined during analysis and will be revisited then. The risk if a feed is needed is around SSP resourcing. Agreed with SSP team manager that SSP will be brought into the project once details around a feed are clearer

MVM159 Upgrading of teaching spaces 23/24 RAG Status: GREEN

Achievements this period

  • Drawings have been created for the three Anatomy teaching rooms.  Tender documents have been drafted and are being prepared to send out to contractors.
  • Search has begun for a portable surgical camera and light system for use between the Anatomy teaching rooms.

  • None

Next Steps

  • Arrange on-site visit with AV contractor for the Vet School rooms.
  • Put out tender for the Dermatology learning hub.
  • Receive quote for direct links between lecture theatres in Chancellor's Building and schedule in install.
  • Put out tender documents for the Small Anatomy Teaching Lab.
  • Complete list of rooms requiring upgrades for the different campus locations need to be identified and added to the project brief.
  • Prioritise list of rooms to upgrade this year based on available funding.
  • Create AV designs and then tender documents for each of the remaining room upgrades.

MVM160 Upgrading of student computer labs, teaching and meeting room PCs 23/24 RAG Status: GREEN

  • Requisitions have started to be raised for the replacement PCs.  The remainder will be raised during early April.

Next Steps

  • Plan the moving of all-in-one chassis PCs purchased last, so that they can be reused in rooms that don't have flip-top style desks.
  • Discuss replacements with local IT teams to ensure they are aware of the locations receiving upgrades.
  • Purchase the replacement computers.

VLE002 Learn Ultra: Technical - RAG Status: GREEN ***Report from January***

Last month

  • VLE002:  Work on our list of Phase 2 developments for the 23/24 academic year is compete as per the plan.  
  • VLE002:  All integration work is complete to the extent the team can. 
  • VLE002: The Tech Imp Group has met to evaluate whether an updated structure would be more valuable moving forward.

SAC105 Adapting ESC (Extensions and Special Circumstances) to support policy changes - RAG Status: GREEN

Achievements in Last Period

  • Provided development estimates for work required, to confirm that 1st objective can be done within timeline
  • Brief drafted and reviewed by the project team- to be signed off by sponsor, business lead and senior user
  • Creating and reviewing technical and frontend designs. with key features being confirmed with stakeholders
  • Policy has been approved by APRC
  • Presented the key points of the EC policy and its implementation to the ESC User Group, to understand any concerns.

SCP004 Short Course Platform: Operational and Management Reporting - RAG Status: GREEN

Achievements this period:

  • Work continues with BA and Project team to define the University's enterprise and data architecture for operational and financial reporting, including the creation of a data dictionary and other project assets for future consideration.

  • Wider stakeholder engagement continues (1:1 as well as via Process Workshops) as the Project team documents data required for learner registration; course administration etc. This work feeds into other projects in the programme (e.g. SCP006 Implementation) but must be documented as part of the overall data strategy in this project.

Next steps:

  • Submit project for end of planning approval at Apps Review.
  • Confirm the data items (that have been identified in the initial stakeholder workshops) can be populated and reported in Eduframe and/or Canvas.
  • Discuss potential reporting gaps with Drieam to determine the future state of the reporting solution.
  • Identify any new reporting requirements based on the new SCP solution/processes that will be adopted (i.e. 'opportunities' – prospects/waitlists).
  • Determine what BI solution is required, and the support/operating model required.
  • Organise further technical consultancy sessions both within UOE and with the vendors, to confirm operational reporting readily available on-platform; ensure best practice is applied when designing the overall data strategy; and plan for any new Short Course Platform databases.

Risks/Issues:

  • Dave Berry (Enterprise Architect) has advised that in the absence of a single central service for building reporting solutions, a number of colleagues should be consulted to determine the solution(s) that best meet the needs of the new SCP. However, he also stated that a number of said colleagues may not actually have resource availability to contribute to the project. The Project team will investigate further and engage where appropriate.

SCP007 Short Course Platform: Payment Integration and PCI-DSS Compliance - RAG Status: GREEN

Achievements this period:

  • Project has now progressed from Amber to Green RAG status since escalating resource constraints to ISG Apps SLT, resulting in both ISG Finance Sys Admin and P&M Service team resource being assigned to and now engaging with the project.

  • New analysis code requested to progress configuration changes to support the introduction of the new card payment (WPM-Education) gateway.

  • Work required (to ensure that prospective learners of the new SCP can purchase courses online via the course catalogue using card payment) by Flywire and Drieam to enable the WPM-Education integration and testing has been mapped out. Meeting held to plan when the work can be completed/initiate first steps.

Next steps:

  • Next steps to be completed (to ensure the business can account for online payments received via the new SCP) by the Project team; ISG Finance Sys Admin; P&M Service team; and Finance Operations are currently being mapped out and assigned (including tasks being set up in the P&M Jira).
  • Plan out end-to-end payments testing, and align with the Implementation (SCP006) project timeline.

Risks/Issues:

  • Further understanding of VAT/Sales Tax rules for the design of the SCP payment integration has been deduced, and a VAT configuration issue has been identified with the Eduframe course catalogue WPM-Education integration. The required change is currently being scoped and prioritised with the vendor.

SCP008 Short Course Platform: Configuration of Email, SSO and IDM - RAG Status: GREEN

Achievements this period:

  • SSO has been configured via Azure AD (Entra ID) on the Eduframe and Canvas live environments.

  • SSO support page written up for the SCP Comms SharePoint (via project SCP010 COL VLE Early Adopters).

  • Design evaluation underway for the IDM solution. Integration with Eduframe via a Microsoft Power Platform connector considered and tested. Ultimately, Python app developed by ISG Apps Software Dev using the Eduframe API deemed to be the best solution.

Next steps:

  • ISG Apps Dev Tech to set up Python DB infrastructure with Celery using Graph API and Bamboo.
  • ISG Apps Software Dev to begin developing solution.
  • LTW DLAM to assist with UAT.

Risks/Issues:

  • The SSO workflow has been configured so that the staff user logs in via Eduframe (course catalogue) and this authenticates their access to Canvas (learning environment) also. A bug has been identified (potentially an incorrectly configured redirect address in the URL) that is resulting in an Eduframe to Canvas pass back issue, where if the staff user attempts to login to Canvas directly, they are being redirected to Eduframe and having to click back into Canvas. A fix is being scoped and prioritised with the vendors.
