New Financial Journal Auto Upload Management System |
The Journal Auto-upload Management System (JAMS) is now live.
JAMS address a long standing inefficiency with the management of financial transactions that originated outside of eFinancials.
The new JAMS functionality automates the interfacing of payment information from the WPM Card Payment site (ePay) into eFinancials removing the need for manual intervention and speeding up the journal posting process. Any problems with the payment data are automatically detected and the data owners alerted so that corrective measures can be taken. |

- The installation of the live software went ahead as planned on Friday 6th Sept though the automatic overnight task wasn't activated until Monday 9th as a precaution
- On Monday we liaised with WPM and Accommodation Services to activate the automation of delegate registration journal files
- Files have been successfully loading into eFinancials and Accommodation Services have confirmed that journal data looks correct in eFinancials.

- latest version of JAMS has been installed onto Test. This version contains fixes to attach bad files to emails and to correct the sum errors for refunds.

- The developer has been working on the 2 outstanding issues: attaching bad files to emails and sum errors for refunds.
- The latest patches should be ready to go into Test next week and Dev resource has been lined up to install.

- Team meeting held to discuss options for Project Sponsor's request to access/modify invalid files. Team recommendation is to attach a copy of the 'bad' file to the existing error notification. The recipient will then be able to modify the file and manually load into eFin using Excelloader. This provides a workaround for FIS and still complies with the Internal Audit recommendation. An additional 5 days effort will be incurred and an anticipated delay of 2-3 weeks due to resource avaiilability and re-work.

- JAMS re-work for delegate registration vat coding now in Test and awaiting suitable data from the WPM gateway so that Accommodation Services can sign off.
- JAMS overview session given for FIS to broaden understanding of the application within the team
- Project Sponsor raised a new requirement to be able to access and edit invalid files. This had previously been specifically included on the recommendation of Internal Audit.

- The revised software was re-installed into Test this week. This revised version includes amendments for vat codeing for delegate registration, clearing of CLINK tables upon posting failure and some minor renaming in JAMS log files.
- Integration testing is underway.
- FIS have been notified that the system will be ready for UAT next week.

- The additional requirements identified by Accommodation Services (AS) late last week has meant that the live JAMS application cannot be activated. Further discussions have taken place with AS to understand the details of the requirement and a revised has now been drawn up to include this change and redeploy later in July. This change has impacted the project's timescales and budget but these increases have been agreed with Finance and the Programme Manager. - Acceptance sign-off was achieved this week. There were some provisos applied to the sign-off which have been documented in the acceptance milestone
- The JAMS application is being implemented into Live but will remain inactive until the switchover process is confirmed with WPM (as this requires WPM to delete some old files manually posted files from their site to prevent duplicates). We hope to activate the interface next Tuesday (25th)
- A small amount of post-deployment work may be required to tidy up

- Test WPM files & manual csv files successfully loaded into eFin & posted
- One remaining Jira with the developer for an enhancement to the description in eFin, this should be ready for testing by Monday
- Draft plan drawn up to go-live mid-late next week. These are tight timescales but we're keen to get the application live before our key contact in FIS leaves at the end of the month.

- The new application (JAMS) has now been integration tested by Apps Mgmnt with a small number of issues found. The integration sign-off has subsequently been postponed to next week.
- Meeting held with the tester and the developer to review the 6 outstanding issues: -
- 3 are requests for enhancement which will be estimated and discussed with the business
- 1 is a FIS request for more financial codes to be set up in Test
- 2 are issues for the developer to resolve
