Last month

• Single Sign On has been enabled in Production for Wooclap and it is now available across the campus.
• Training has been put in place and sessions have started.
• We have continued to work with Wooclap and Top Hat to migrate as much of the data across in the background rather than front end migration.  We also have 3 Digital Learning Interns in place to support this.
• LTI for Learn and Moodle, plus the PowerPoint plugin and Teams integration are being worked on.

Issues.

• No new issues, project now marked as green.

Next steps.

• The soft launch of Wooclap continues with the finalisation of our migration process.
• Working with the supplier to resolve issues with the Learn and Moodle LTI connections.

• Development for Collaborate has been completed and they are being tested.
• Kaltura Data Retention Policy (DRP) is in draft form.
• Kaltura development has begun after the requirements were agreed.
• Echo360 have noted they will release data retention tool in July.
• The resource profile of the project has been reviewed and bookings updated so Matthew is with us 2 days per week through till the summer.

Issue: There has been a delay in finalising plans for the Moodle changes, thus leaving the dates for this uncertain.

Impact: There is some uncertainty around who will do work required to make the Moodle changes, thus creating risk with regards to the relevant milestones and the effort required

Next steps: Pin down resources for this work and assess the potential impact on the project in terms of time and effort.

Last month

• VLE002:  Work on our list of Phase 2 integrations for the 23/24 academic year is well underway as per the plan.  PebblePad, Linkedin Learning, QMP and Gradescope are being tested with LTI1.3.
• VLE002:  Development work in preparation for the full switch to Ultra during the summer is also well underway with all developments in testing.
• VLE002:  The Automation process, which will be run later in the summer is in test.

• VLE002: Technical Implementation Group to run mid-August.  
• VLE002:  Upon feedback additional development/scope has been added to the Bulk Unenroll toll to allow staff to Quick Unenroll themselves.  This has been estimated at over 1 week of development time then subsequent testing and may not be ready for the start of terms due to other priorities/change freeze.  There will be a workaround in place.

Achievements in last period

• The team have been working on configuring 2 clean instances (for Test and Live) for manual migration, as agreed with supplier and reported in June reporting period.
• agreed to provide these and understood the UoE position.
• SSO has now been configured for Test and Live QMP On-Demand environments.
• Business Lead has been liaising with Questionmark on replicating and resolving issues with LTI connections.
• Team aiming for LIVE migration to take place late August (Go / No Go decision to be made when Business Lead returns from leave mid August).

Issues

• There are a number of issues coming up in configuration and testing and being resolved thanks to additional dialogue with the supplier.

• Further delays are likely to increase resourcing pressure in DLAM and EDE (with existing delays on Moodle and the Polling service), all combining to require intensive work in July. The live delivery is being rescheduled to August to take project team scheduled leave into account.

Next Steps

• Continue with weekly UoE / Supplier calls.
• Go / No go decision (Acceptance).
• Complete manual migration to LIVE.

RAG Commentary

Issue: Staff resourcing issues in the DLAM TEL Team means that project work is being deprioritised to focus on maintaining service reliability. Supplier has now delivered the tool to migrate UoE's on-premise data to their on-demand platform and has Impact: DLAM project work will significantly slow down. In order to avoid disruption to academic activity, live upgrade is now pushed into summer 2023 (supplier has now delivered the conversion/migration tool).

Next Steps: Frequent meetings with supplier to ensure they are able to deliver within the required time window. Increasing resources in the team by moving people around LTW where possible and readvertising where it has not been possible to fill posts.

RAG Commentary

Issue: the scope was expanded from previous years to include New Operating System and New Infrastructure.

Impact: configuration errors within Rocky OS causing timeout error messages. This delayed this project by approximately 6 weeks.

Plan: Completed some advanced tasks ahead of schedule where resources were available and that did not impact other deliverables. Secured additional resources for theme build and bug fixes identified in JIRA. Project Team agreed the project status can move to Amber as agreement was reached that the deployment to LIVE date is now scheduled for 15th Aug 2023. This also avoids the change freeze in September.
