Programme Commentary

UWS003 - Polopoly Text Editor Styles will be deployed to LIVE on 05/12/13. This has been a smooth project with the issues raised at UAT fixed and signed off.

UWS005 - Alternative Search Engine business analysis ready for sign off, however in view of annual planning estimates for the procurement and implementation project, the business case will be removed from scope and scope will be reduced but remaining resources in Dev investigating "Core Functions" with UWP.

UWS007 Google Cookies Search Infrastructure - Successfully deployed to LIVE at the beginning of January, some outstanding work will be completed in next reporting period. Initial response to the new search engine has been very positive.

UWS006: The Drupal report recommended that in the first quarter of 2013 further work be carried out including complete planning for the Drupal implementation. The Web Governance Group met in early December to review the report and approved the continued planning. Two new projects have been initiated to this work these are:

  • UPW001: Business Requirements and Business Case. This project will deliver the business requirement, case and a high level design for the Drupal implementation
  • UPW002: Drupal Further work and training. This project will complete further technical work as recommended by the POC report as well as deliver technical training in preparation for the development.

A total of 83 days effort has been delivered this month bringing the total number of days for the programme this year to 320. The programme will not deliver the 1030 days agreed and this has been reflected in the mid-year review with the withdrawal of three projects and carryover of 259 days to 13/14.

Plan

Review requirements in January 2013; initiate project and start planning in July 2013.

Subject to the time frame of delivery of a new CMS system, and following on from number 3 above, Polopoly development will be needed to develop the relevant css and enable local control of the 'look and 'feel'.

The implementation may need two stages, to enable the transition to the new IA and refine the page design, and then to actually make the transition to the new IA.

Outcome of the Drupal Prototype: the updates to Polopoly should only go ahead once the future CMS is determined, to avoid duplicating effort updating Polopoly and then updating a new CMS.

  • Development Team have reviewed and feed into strategy and considerations document
  • Fed into annual planning for the potential procurement and implementation project
  • Estimate for project reduced based on findings to date (now 62.5 days was 88.5 days)

Issues

  • Some conflicts for UWP time with Drupal proof of concept project
  • Some conflicts for Project Services time with timetabling project
  • Change to focus of project based on recommendation (i.e. data source and Information Architect roles are more immediate pressure than new search engine)

  • Addtitional test to ensure the search server failing did not affect the main UoE website was carried out succesfully.
  • ASOR Achieved
  • New search code and server transitioned to LIVE operation.
Issues
  • An issue was raised pre deploy whereby the Web Integration team flagged up an error in the operation of the new server against the current searches. This was resolved as they were using the wrong connection URL for the new server.
  • Another problem was raised the day before deployment as the server about to go live was found to be unavailable. After investigation by Dev Tech, this was determined to be caused by looping process started  during  a demonstration to UWP. The process was stopped and the server restored to operating normally. Additional health checks and load tests were carried out to ensure the server was fit for deployment
  • A problem was flagged up at the end of testing whereby the URL of the search server is accessible external to the university if the URL is known. A solution has been proposed by Dev Tech to redirect the URL.

Expect database upgrade from 9i to 10g in ITS098 but 10g will be out of support at some point in 2013. Decision regarding CMS replacement or Polopoly upgrade should take into consideration

In the annual plan for 12/13 there was a proposal for the replacement of the front-end servers Olive and Mint. Extended support has been agreed for 1 year, but expect that these may need replaced by November 2013 so must be considered in annual planning for 13/14.
