Overview
Background
The School of Physics and Astronomy have developed a project marking tool which is used by staff and administrators at the school. The purpose of the tool is to make the process of marking assessments more efficient and allow for better collaboration between multiple markers. Other schools within the college of science and engineering have shown an interest in using the tool too, however this would require changes to the product to meet their requirements and also raises questions on how the tool could be rolled out to multiple schools, who would maintain the system, who would pay for the additional development work etc.
The Project Sponsor has therefore requested support from IS Applications in the form of a project. This project will help to guide the college in further developing and the roll-out of the product to the other schools. Through consultancy, the project will use the experience of the various IS Applications teams to help the college developers apply best practice to the development and roll out of the tool to the other schools.
Scope
This project will seek to help the CSCE to roll out the Project Marking tool to other identified schools within the college. All technical IS Applications project resources will be utilised on a consultancy basis only. The CSCE technical team will be responsible for developing the new release, rolling out to the schools and the ongoing maintenance of the tool. Through this project the CSCE technical team will have access to selected IS Application team members who will provide advice and guidance on best practice approaches.
Therefore the following is in scope for the project:
- Project management of the overall delivery of the Project Marking Tool including, documentation, planning, reporting, ensuring resources are available and milestones are met.
- Business Analysis to review the requirements already captured by the CSCE, identify any gaps and help the CSCE team to plan for acceptance testing of the new release.
- Access to a senior developer from IS Applications (on a consultancy basis) who can offer advice and guidance when needed throughout the project lifecycle.
- Access to resources within the Development Technology team (on a consultancy basis) who can offer advice and guidance when needed throughout the project lifecycle.
Out of Scope
The following is out of scope for the project:
- The Senior Developer will not be expected to carry out any development work on the Project Marking Tool
- The Development Technology resources will not be expected to carry out any development work or make any technical changes to any live or dev environments.
- If the current CSCE technical environment requires upgrade, any costs associated will be out of the scope of this project.
- If the current CSCE technical environment requires upgrade and it has the potential to delay the project by more than two weeks, then consideration will be given as to whether the project should be suspended until the work has been completed.

Benefits
Schools can expect the following benefits if they implement the enhanced tool:
- Reducing the need to pass documents between markers and administrators
- Reducing errors by providing a single place for markers to see the status of their marking and which actions are outstanding
- Reducing the burden on administrative staff of tracking statuses by providing an overview through a dashboard
- Reducing the time it takes to prepare reports/spreadsheets by automatically generating these through feedback/grades/notes gathered during the marking processes
The following benefits are also expected to be delivered by the project:
- The sharing of knowledge across the schools on the marking process will help the schools to identify areas of commonality and good practice which would improve the consistency of marking across the college
- Consultancy with IS Application team members will help to inform the CSCE on best practice across areas such as scaling applications and managing and developing complex solutions
- Consultancy with UX specialists will help the CSCE to ensure the tool delivers a positive user experience and that the CSCE can gain best practice tips for future systems.
